Monthly Board Meeting Minutes

December 4, 2006

TOTAL IN ATTENDANCE:    4 (3 board members, 1 ARC member)

CALLED TO ORDER:             7:14pm
SECRETARY REPORT:          November minutes were read and approved with one change. September minutes were read and accepted as read.

TREASURER REPORT: Treasurer report was read for November.

November beginning balance: 4363.76

Tampa Electric : 21.87 (-)

Interest: 0.86 (+)

October ending balance : 4342.75

Note: we have a 6 month certificate of deposit at the bank for $1000.00 plus interest.

The annual treasurers report detailing 2005 – 2006 is being worked on.

Treasurer submitted a list of outstanding dues, totaling 25 homeowners, of which there are 3 with liens. This list is to be used to send out late notices and lien reminder notices.

OLD BUSINESS

A discussion regarding style, content and frequency of a community newsletter. Tom and Roberto brought examples of newsletters to be discussed in this meeting. After a period of discussion, it was decided that one of the examples be used as a template to make our newsletter. We will include excerpts from the monthly meeting(s), community concerns based on community input/feedback, ARC in general, finance news, highlight a portion of the Declaration of Covenants and Restrictions, a section on home sales, a section focusing on ARC violation with a reference to the Declaration of Covenants and Restrictions, a section about crime watch and crimes reported in our community. The first edition will contain a form to allow residents/homeowners to specify if they would like to receive the newsletter via email. Sending the newsletter via email would be preferred over other methods as it costs nothing. We will attach a one-page ARC form to each edition of the newsletter to give homeowners and/or residents a convenient means to submit their planned projects to the ARC for review and approval. We are not yet sure how often we want to put out a newsletter. We think it will come out either quarterly or monthly, depending on the needs of the community.

Tom to formerly notify the attorney that we are adopting them as our own. After later speaking with the attorney’s office, Tom later sent an email to them to this affect.

We are looking into our files for a couple current ARC violations.

The homeowner on Sandywood does not seem to be facing financial hardships.

NEW BUSINESS 

We are going to look over the files to get a better understanding of how well they are organized.

Roberto provided a new list of houses that have sold in the community from the period 06/01/06 to 12/04/06. This will be posted on the web site at a later date.

 Landscaping committee’s report:

Harry is to contact an electrician he knows to let us know if that electrician can give us a bid on doing the front lights. The condition of the front lights are still as the vandals left them.

The date and time for the next meeting was proposed for Jan 8. After Tom spoke with the staff, he made a reservation for the soonest Mon in 2007 we could meet at the community center, Feb 5, at 7:00pm in the Brandon Recreation Center conference room (old building). If we set a January date, it will have to be in one of our homes.
